Reducing costs

Times have never been harder for British business. We all look to reduce our costs as fast and as far as we can. Let Work Follow People - Not People Follow Work

You can deploy your staff wherever it is most effective. If you're working in other premises you can simply plug your phone into the network and answer and make calls as though you were in your head office. Your staff can appear as though they are in the office when they are elsewhere. So for example, you can base receptionists at their own homes. They can take and make calls in exactly the same way as if they were sitting in expensive offices.

If you decide to close premises or outlying offices then you can preserve their telephone numbers and overlay them onto your own system. Clients phoning you will not realise they are not talking to the local office, unless you choose to tell them. When you move out you don’t need to leave your phone system there – simply unplug the phones and use them anywhere in the world. You can either leave the phones to behave as they previously did - they don’t care where they are - or you can re-programme them using the web portal. All of this can happen as fast as you choose to make the changes.

You no longer need to have staff on standby simply to cope with peaks in demand - your phone system can transfer calls to anyone, anywhere.

If you have less staff then you can arrange for phones to ring in a different sequence than previously. Unmanned phones need never ring and they can be answered seamlessly by remaining staff. You can use interactive voice routing in different ways and use voice mail to email transfers for free when it helps.

Conference calls are free and can involve unlimited numbers of people so you can save money by simply holding teleconferences rather than travelling.

Analysis

You can analyse your telecoms expenditure in real time. This means that you can reduce the call costs by bearing down on unnecessary calls. It also means that you can work to avoid activity which isn’t needed. So if you find you are calling a supplier too many times you may decide to email him in future.

You may conclude that you aren’t talking to your customers enough and here again the systems inherent flexibility can help.

Limit Phone Usage

You can impose both time and expenditure limits on particular phones. So for example you could prevent international calls or mobile calls.

You can block incoming calls based on any rules so you can have hot phones which are only available to certain individuals - maybe a priority customer line.

Discourage Abuse

You can discourage abuse of the phone systems by recording any or all phone calls. So it is easy to check what your customer said and your staff will not be tempted to use the phones for unauthorised uses.
